Terms & Conditions

1. Introduction

Event Mandap is a pan-India premium event management and destination-wedding company powered by Event Basket. By requesting, booking or using our services you agree to be bound by these Terms. If you do not agree, please do not engage our services.

2. Scope of Services

We provide event planning, mandap design, vendor coordination, logistics and on-site execution (collectively, “Services”). Services will be set out in a separate proposal or quotation which overrides any general description on the website.

3. Proposal, Acceptance & Confirmation

A proposal or quote issued by Event Mandap is an offer to provide Services subject to availability and receipt of required deposits. A booking is confirmed only when we receive the required deposit and a written confirmation (email/WhatsApp) is sent by Event Mandap.

4. Payments & Pricing

• Deposits: A non-refundable deposit (as stated in the proposal) is required to reserve dates.
• Payment Schedule: Remaining fees will be invoiced per the schedule in the proposal. Timely payment is required for continued service.
• Taxes & Charges: All prices exclude applicable taxes, levies and third-party charges unless explicitly included in the proposal.
• Price Variations: Quoted prices are valid for the period stated. Venue/vendor surcharges or currency changes may require adjustment.

5. Cancellation & Refunds

Cancellation by the Client must be notified in writing. Cancellation charges apply as per the schedule in the proposal and may include:

• Loss of deposit.
• Progressive cancellation fees for services already committed (vendors, rentals, travel).
• Any non-recoverable third-party costs incurred by Event Mandap.

If Event Mandap cancels (rare), we will provide a refund of any sums paid minus direct costs already incurred, or propose an alternative date/service. Event Mandap is not liable for consequential losses.

6. Changes & Variations

Minor changes requested by the Client will be accommodated where practical. Significant changes (scope, guest numbers, venue, date) may require revised proposals, additional fees and confirmation timelines.

7. Client Obligations

• The Client must provide accurate event details, approvals and timely access to venue and vendor information.
• The Client is responsible for any permits, permissions or local fees unless otherwise agreed.
• The Client must ensure compliance with venue rules, local laws and safety regulations.

8. Vendors & Subcontractors

Event Mandap coordinates with third-party vendors. Unless explicitly stated, vendors are independent contractors. While we select and manage vendors carefully, Event Mandap’s liability for vendor acts is limited to reasonable efforts in selection and supervision.

9. Vendor Cancellations & Force Majeure

If a vendor cancels or is delayed, Event Mandap will make reasonable alternative arrangements. If a force majeure event occurs (see Section 14) affecting the event, we may postpone, reschedule or cancel without liability for consequential damages.

10. Intellectual Property

All creative concepts, plans, designs, artwork and proprietary materials produced by Event Mandap remain our intellectual property unless otherwise agreed in writing. The Client is granted a limited licence to use materials for the specific event only.

11. Privacy & Data

We collect and process Client and guest information as necessary to provide Services. Our Privacy Policy (available on the site) explains how we handle personal data. By engaging us you consent to necessary processing and to us sharing data with vendors for performance of the Services.

12. Liability & Indemnity

Event Mandap’s liability for any claim arising from or related to the Services is limited to the total amount paid by the Client for those Services. We shall not be liable for indirect, incidental or consequential loss (including loss of profits). The Client indemnifies Event Mandap against claims arising from Client-provided materials, breach of venue rules, or failure to obtain necessary permissions.

13. Insurance

Clients are encouraged to obtain event insurance covering cancellation, public liability and equipment. For large or high-risk events we may require proof of appropriate insurance from the Client or venue.

14. Health, Safety & Security

Event Mandap will implement reasonable safety measures on site. The Client must notify us of any special health or accessibility requirements. We reserve the right to refuse or stop any activity that compromises safety.

15. Force Majeure

Neither party is liable for failure or delay caused by events beyond reasonable control (acts of God, war, strikes, government restrictions, extreme weather, pandemics, etc.). In such cases we will cooperate to agree on a reasonable alternative date or scope. Refunds will be at our discretion and subject to third-party recoveries.

16. Termination

Event Mandap may terminate services if the Client fails to pay, provides false information, or otherwise materially breaches these Terms. On termination the Client remains liable for all costs and losses incurred up to termination.

17. Governing Law & Dispute Resolution

These Terms are governed by the laws of India. Parties will seek to resolve disputes amicably; if unresolved, disputes will be subject to the exclusive jurisdiction of courts in Goa, India, unless otherwise agreed in writing.

18. Changes to Terms

Event Mandap may amend these Terms from time to time. Material changes will be communicated on our website or via email. Continued use after notification constitutes acceptance of the updated Terms.

19. Entire Agreement

These Terms, together with any proposal, quote or written agreement between the parties, constitute the entire agreement and supersede prior negotiations or representations.
